The Warehouse Shipping & Logistics Manager manages the operations, and facilities of the warehouse. This person works with all our PM’s to get their shipping and deliveries in order. They manage the logistics and tracking of multiple shipments.
 
 
DUTIES & RESPONSIBILITIES:
 
  • Oversees the operations of the warehouse to maintain safe receipt, retrieval, tracking, and storage of sometimes fragile materials and equipment essential to the core business
  • Develops warehouse standards and emergency operating procedures for receiving, handling, sorting, shipping, or salvaging stored items to ensure rapid, continuous, and safe receipt and retrieval of items
  • Orchestrates and/or implements the schedule or monitors air or surface pickup, delivery, or distribution of products or materials to ensure deadlines are met
  • Develops and implements staff expectations in the areas of workplace safety and security, safe handling of stored items and use of mechanical equipment to enable storage work
  • Develops or implements plans for facility modification or expansion, such as equipment purchase or changes in space allocation or structural design including creating cost-benefit analyses and gaining budget approvals in advance of need
  • Utilizes effective track and trace systems to monitor goods while they are en route to their destinations, expediting orders when necessary
  • Plans the arrangement of goods within the warehouse and organize special requirements for certain stock, such as fragile products
  • Leads the planning and coordination of incoming and outgoing items in collaboration with project management team, customers, suppliers and transport companies
  • Supervises the activities of temporary employees engaged in receiving, storing, testing, and shipping products or materials
  • Plans and coordinates staff activities and workflow to continuously exceed receipt and delivery timelines and accuracy, anticipating potential delays and creating plans to overcome obstacles expected
  • Reviews invoices, work orders, consumption reports, or demand forecasts to estimate peak delivery periods and to issue work assignments, providing oversight of stock control and process orders
  • Maintains receiving, warehousing, and distribution operations by initiating, coordinating, and enforcing program, operational, and personnel policies and procedures
  • Maintains physical condition of warehouse by conducting periodic inspections of areas and equipment, ordering testing, maintenance, repairs, or replacements as needed to ensure a clean, safe and efficient operation
  • Maintains electronic and hard copy records of all warehouse contents and ensures the timely and accurate dispatch and storage of materials and equipment ordered and returned
  • Issues shipping instructions and provides routing information to ensure that delivery times and locations are coordinated
  • Responds to customers' or shippers' questions and complaints regarding storage and distribution services
  • Ensures productivity targets are met and maintains computerized administration and automated storage and retrieval systems
  • Enters data, develop reports, resolve discrepancies, and routinely provide data regarding warehouse inventory, values, and status needed to monitor and control shrinkage, ensure currency of inventory records, and submit accurate data for financial reporting
  • Prepares and manages departmental budgets and ensures quality, delivery and budget objectives are met
  • Prepares or directs preparation of correspondence, reports, maintenance requests, safety committee minutes and manuals, and other administrative recordkeeping needs to ensure an orderly and safe warehouse operation
  • Holds Weekly Production Meetings, and delegates duties and assignments to staff to meet business needs
  • Conducts safety assessments of working environment, conduct safety training and adhere to fire code regulations
  • Responds to and deals with customer communication by email, fax and telephone
  • Produces regular reports and statistics on a daily, weekly and monthly basis
 
 
QUALIFICATIONS:
 
The list of qualifications includes the minimum qualifications necessary for any new employee for this position, such as specific prior work experience, certifications/licenses, technical knowledge of software, machinery, or tools, and physical abilities such as relevant lifting, bending, walking, and/or stooping.
 
  • Must have a minimum of one year of work experience in warehouse management
  • Preferred experience and proficiency in the following key areas:  terminology, methods, practices and techniques used in warehouse management; setting up/maintaining inventory management system, word processing, spreadsheet, and email software; and significant skills in collaboration and influence with diverse teams
  • Requires working skills with Mac computers and software
  • Requires demonstrated success in working both independently and on teams to meet deadlines, manage projects, and execute complex activities reliably
  • Requires excellent interpersonal and customer service skills with the ability to maintain composure while under pressure and remain flexible despite interruptions and/or routine changes while operating in a high-pressure environment with tight timelines
  • Ability to organize and complete multiple assignments on time accurately and with minimal supervision is essential
  • Familiarity with Forklift operation is a must
  • Some travel should be expected
  • Current driver’s license and good driving record required
  • Requires ability to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl on a routine basis and to lift up to 75 pounds on a routine basis
